Front of House Concierge Secretary

Founded by alumni of the University of Toronto in 1906, The
University Club of Toronto provides elegant ambiance and superb
service throughout its attractive Club house, offering formal and
casual dining venues, in addition to a number of private function
rooms for special social occasions or for business groups. Our
facilities include overnight accommodations for members and their
guests, a modern Fitness, Lifestyle and Sports Centre, and a
varied programme of Club events.
We are seeking an individual with excellent
inter-personal and written communication skills to join our team
in the role of Front of House Associate - Concierge
Secretary. The key areas of responsibility for this
role are guest services, reservation enquiries & secretarial
duties. This is a full-time, Monday through Friday
position.
The responsibilities of our Front of House
Associate - Concierge Secretary include:
Public
Relations & Guest Services - greeting members and guests and
directing them appropriately
Receiving/confirming
incoming reservations and bookings via telephone and e-mail
Reception
telephone duties & receipt of deliveries
Concierge
– offer assistance to provide information on current
events in the city, maps of the city, subway maps, limo or taxi
bookings, car directions, or assist to purchase tickets for
events, provide parking directions, etc. Collating Membership
and promotional materials & manipulate databases to help put
together promotional materials and ‘e-news’
communications
Secretarial
functions such as letters of introduction, mailings, member
requests
Inputting
Club usage charges and ensuring that membership and financial
information is kept confidential in accordance with the Club’s
privacy policy
Maintaining
safety and security standards, including the monitoring security
alarms
Upkeep
of 320 worldwide affiliate club files and listings to ensure
information is current and accurate
Assisting
the GM on miscellaneous administrative matters and working
closely with other club staff to ensure the smooth running of
the operation.
The preferred candidate will be a university
graduate with prior hotel or hospitality experience and excellent
computer skills. Proficiency with Excel and Word databases are
necessary for this role.
